Compare the plan your volume requires

For a solo business with low transaction volume, Xero Early’s lower regular price can be meaningful: $300 annually versus $456 for Simple Start, before add-ons and taxes. But if the business needs Xero Growing, its $660 annual regular cost is a different comparison. A low advertised starting tier is irrelevant when the company exceeds its limits.

QuickBooks’ one-user allowance also matters. If an owner and an employee both need normal operating access, establish the appropriate higher tier. Accountant access is not a substitute for ordinary employee access.

Test one month of work

Use representative invoices, supplier bills, bank transactions, payment deposits and the reports the business actually reviews. Include refunds and corrections. Have the bookkeeper or accountant confirm that the proposed workflow produces usable records without unnecessary manual work.

Payroll, payment processing, inventory and multi-currency requirements can change the subscription or add another service. Do not infer those capabilities from a broad statement that a product “does accounting.” Identify the exact feature and edition.

The introductory-price trap

A temporary 50% or 90% discount is not the ongoing cost. Record the standard renewal price, the date it begins and what the discount excludes. Payment fees and additional services can remain chargeable during the promotion.

Choose Xero Early when its limits comfortably cover the actual workload. Choose Simple Start when its user limit and accounting workflow fit better. If either limit is exceeded, compare the correct higher editions before making a decision.

Annual cost at regular prices

At regular prices, Xero Early costs $300 a year, QuickBooks Simple Start $456, Xero Growing $660, and QuickBooks Essentials $1,020. A business that outgrows Xero Early’s 20 invoices a month should compare Growing ($660) with Simple Start ($456) if one user is enough, or with Essentials ($1,020) if three people need access.

Questions to ask before you buy

  • How many invoices and bills do we process each month?
  • How many people need everyday access, apart from our accountant?
  • Do we need payroll, inventory or multi-currency features?
  • When does the introductory discount end, and what is the regular price?

Frequently asked questions

Does one invoice always count as one transaction against Xero’s limit?

Xero’s terms explain how approving, sending and app-partner transactions affect the allowance. Check the workflow you use rather than only counting emailed PDFs.

What happens if I go over Xero Early’s limits?

You need a higher plan. Growing ($55 a month) removes the invoice and bill caps, so compare it with QuickBooks if you expect to exceed 20 invoices a month.
