At a glance
- ITAD: sanitization, custody tracking, reporting and possible buyback credit.
- Recycling: material handling after data is cleared.
- NIST SP 800-88 Rev. 2 frames a media-sanitization program.
The decision is about what happens to each asset after it leaves your control. A pickup receipt alone does not show that a particular drive was sanitized, destroyed, refurbished, or sold.
ITAD vs electronics recycling
Swipe or scroll sideways to compare all options.
| Service difference | A scoped ITAD engagement | A recycling-only engagement |
|---|---|---|
| Price basis | Logistics, quantity, media, service method, reporting, and any recovery credit | Material type, weight/quantity, collection, and processing charges |
| Current universal price | None; a scoped quote is required | None; acceptance and service charges vary |
| Primary objective | Retire assets with data handling, tracking, and an agreed reuse or disposal route | Recover or dispose of materials through the agreed recycling process |
| Asset tracking | Can include serial-number inventory and reconciliation when contracted | May track a shipment or weight rather than individual assets |
| Data-bearing devices | Sanitization or destruction is selected and documented in scope | Do not assume data sanitization is included |
| Reuse and redeployment | Can prepare suitable equipment for another employee or location | Not the purpose of a recycling-only scope |
| Resale or buyback | May provide a recovery value after assessment and agreed deductions | Do not assume a resale credit |
| On-site work | De-installation, collection, or on-site data services can be included | Collection and handling depend on the agreement |
| Completion evidence | Defined asset report, sanitization/destruction results, exceptions, and disposition | Recycling receipt or certificate as specified; may not prove data handling |
| Main limitation / extra cost | Buyback value is not guaranteed; quoted data services and reporting determine coverage | A recycling receipt alone does not prove each drive was sanitized |
| Best fit (Sigma assessment) | Retired equipment needs data handling, asset-level evidence or reuse assessment | Data clearance and asset accountability are already resolved; only material handling remains |

These are scope distinctions, not a claim that every ITAD provider includes every service. Ingram Micro lists erasure, destruction, de-installation, processing, refurbishment, redeployment, recycling, and buyback among its lifecycle offerings; the selected services still need a quote.
What makes an ITAD price comparable?
Separate the service charge from estimated resale proceeds. A promise of “free recycling” and a proposal with serial-level tracking, on-site destruction, and an asset report are different purchases. Compare the same collection sites, inventory, handling requirements, data method, and evidence.
Ask whether the offer is a fixed buyback price or an estimate subject to inspection. Model, configuration, age, condition, missing parts, activation locks, and market demand can change recovery value. A laptop that powers on is not necessarily ready for resale.
Define deductions and ownership transfer. The business should know who owns the equipment during assessment, when any credit becomes final, and who pays if the recovered value is below the handling cost. Keep these commercial terms in the proposal rather than relying on a headline credit.
For example, net project cost = collection and processing + selected data services + reporting and other agreed fees − confirmed recovery credit. The formula is a comparison method, not a suggested market price. Use quoted amounts and keep uncertain recovery value separate until confirmed.
Data handling must follow the media
A desktop computer, a damaged SSD, and a network appliance do not necessarily support the same sanitization process. NIST SP 800-88 Revision 2 provides a framework for a media-sanitization program; it is not a universal instruction to run one overwrite tool on everything.
Identify storage in less obvious equipment, including multifunction printers, phones, removable drives, and appliances. Then specify the appropriate method, verification and validation evidence, and the exception route for media that cannot be processed successfully. A failed erasure should not disappear inside a batch-level completion statement.
When equipment is reusable, a suitable verified sanitization method may preserve value. Destruction removes the ability to reuse that media and may be appropriate when its condition or the organization's requirements call for it. The selected method should reflect the data, media, and intended destination.
What evidence should the business receive?
Agree on the deliverable before pickup. For an accountable equipment batch, an asset-level report can connect each serial number to its result: redeployed, resold, recycled, destroyed, or held as an exception. Without that connection, an accounting list and a disposal receipt may not reconcile.
Track custody during collection, transport, processing, and any downstream handling. The exact process depends on the contract, but responsibility should remain clear at each handoff. If on-site work is required, identify what will occur before anything leaves the premises.
A certificate is useful only when it describes a meaningful completed process. Check which assets it covers, the service date, the method, and the responsible party. Do not equate a generic recycling certificate with proof that every storage device was sanitized.
Avoid disposing of equipment that is still needed
Confirm retention requirements and backup ownership before retirement. A powered-off server may contain the only copy of an old application or information that the business still needs. Obtain the appropriate internal release before its storage is erased or destroyed.
Also remove the device from relevant management and ownership systems through the proper process. An activation-locked device can lose reuse value even after its storage has been addressed. Coordinate that work with the provider and retain the business's asset records.
Choose ITAD when those data, custody, and recovery obligations exist. Choose a narrower recycling service when they have already been resolved and the remaining job is material handling. Sigma can help request a lifecycle proposal that identifies the service, evidence, and net cost for the actual retired equipment.
Questions to ask before you buy
- Which retired devices contain data, including printers and network equipment?
- Will we receive an asset-level report with serial numbers?
- Is equipment processed in Hawaiʻi or shipped to the mainland?
- Is the resale credit fixed or estimated after inspection?
What Hawaiʻi businesses should check
Ask whether equipment is processed in Hawaiʻi or shipped to the mainland first, and how custody and data protection are maintained during transport. On-site data destruction can resolve the question before anything leaves your premises.
Frequently asked questions
Do I need a certificate of data destruction?
Yes, for any device that held business data. It should list serial numbers, the method used, the date and the responsible provider.
